All content published on the Website, including but not limited to text, graphics, logos, images, videos, recordings, digital materials, and downloadable resources, is the property of SPACE Studies or its licensors and is protected by applicable intellectual property laws.

Submissions and Recorded Participation

By submitting abstracts, papers, project descriptions, showcases, curated sessions, proposals, presentations, recordings, or any other materials in connection with a Service, Users, Participants, and Members confirm that they hold the necessary rights to the submitted material and that such material does not infringe the rights of any third party.

Participants retain copyright in their original work. However, by submitting materials or participating in recorded events, they grant SPACE Studies a non-exclusive, royalty-free, worldwide licence to:

  • Review and evaluate submissions
  • Communicate with reviewers or advisory board members for assessment purposes
  • Publish accepted abstracts, papers, project materials, reports, or related content in proceedings, publications, or digital archives
  • Record, edit, reproduce, archive, and store presentations, discussions, and event sessions
  • Distribute, broadcast, stream, or otherwise make available such materials via the Website, official platforms, social media channels, and promotional materials

 

This licence is granted for academic, professional, archival, and promotional purposes related to the activities of SPACE Studies.

SPACE Studies reserves the right, at its sole discretion, to decline, remove, edit, or withdraw any submitted or published material where necessary for legal, ethical, reputational, or operational reasons.

The Company may edit recordings or materials for clarity, length, technical quality, formatting, or accessibility purposes, provided that the substantive content is not materially misrepresented.

Such action may be taken without prior notice where reasonably necessary to comply with legal or ethical obligations.

Photography, Recording and Media Consent

Events organised by SPACE Studies may be photographed, audio-recorded, video-recorded, or live-streamed for documentation, archival, academic, and promotional purposes.

By attending or participating in any event (whether onsite, online, or in hybrid format), Participants, Members, Speakers, Exhibitors, and Attendees expressly consent to being photographed, recorded, or otherwise captured in event media.

SPACE Studies reserves the right to use, reproduce, edit, publish, and distribute such media in any format or medium, including but not limited to the Website, social media platforms, publications, promotional materials, and future event documentation.

If an individual has specific concerns regarding identifiable media use, they must notify the Company in writing prior to the event. While reasonable efforts may be made, the Company cannot guarantee exclusion from group or wide-angle recordings.

6. Payments and Financial Transactions

Certain Services offered by SPACE Studies require payment of fees, including but not limited to conference registrations, event bookings, memberships, digital products, and submission processing fees.

All payments must be made through the authorised payment methods provided on the Website.

Payments are processed securely through third-party payment providers, which may include Stripe, PayPal, WooCommerce, Event Espresso, Paid Memberships Pro, or other authorised platforms. The Company does not collect or store full credit or debit card details.

By completing a transaction, the User confirms that they are authorised to use the selected payment method.

Prices and fee structures for Services are published on the relevant service pages and may be updated from time to time. The applicable fee is the amount displayed at the time of purchase or registration.

Refunds, cancellations, transfers, or fee adjustments are governed by the specific Terms and Conditions applicable to each Service (e.g., Conference Terms, Event Terms, Membership Terms).

Transaction fees charged by third-party payment providers may be deducted where specified in the applicable Service Terms.

Chargebacks and Payment Disputes

Users agree not to initiate unjustified payment disputes or chargebacks through their bank or payment provider in relation to Services properly delivered by the Company.

In the event of a payment dispute or chargeback, SPACE Studies reserves the right to provide relevant transaction records, registration confirmations, attendance records, correspondence, and applicable Terms to the payment provider as evidence.

Where a chargeback is found to be unjustified, the Company reserves the right to recover the outstanding amount, applicable administrative costs, and any dispute fees incurred.

7. Limitation of Liability

To the fullest extent permitted by applicable law, SPACE Studies shall not be liable for any indirect, incidental, consequential, special, or punitive damages arising out of or in connection with the use of the Website or participation in any Service.

This includes, but is not limited to, loss of profit, loss of opportunity, loss of data, reputational harm, travel or accommodation costs, or technical disruptions.

The Company does not guarantee uninterrupted access to the Website or Services and shall not be liable for delays, technical failures, platform outages, or circumstances beyond its reasonable control.

In the event of any conflict between these General Terms and specific Service Terms, the specific Service Terms shall prevail.
